Executive Assistant

DMT is seeking a mature and experienced Executive Assistant (EA) to provide administrative support to the Chief Operating Officer (COO). Primary responsibilities will include a wide range of general and executive administrative support such as calendar management, travel arrangements, coordination and communication. The EA is a professional and maintains the highest level of trust and confidentiality when dealing with sensitive information pertaining to the affairs of the COO and/or organization.

The EA has strong communication skills, both verbal and written, and prides themselves in their strong attention to quality and details. The Executive Assistant has excellent organizational and time management skills and can prioritize and multi-task within a fast-paced environment. A strong work ethic and initiative are integral to the success of this position, trust and professionalism are paramount. 

Responsibilities:

  • Manage the COO’s calendar, including scheduling of meetings (internal & external), coordinating events, booking appointments, ordering team lunches
  • Responsible for Corporate Travel arrangements (from COO, to Executive Team, to staff at large)
  • Research best flight and hotel options, and scheduling, booking, and adjusting flights and accommodations (domestic and international)
  • Manage corporate travel programs with suppliers
  • Working with HR, ensure travel policies are current, and adhered to by team members
  • Prepare letters, proposals, and analytical documents – strength in Word and PowerPoint is a must
  • Prepare meeting agendas and supporting material
  • Prepare ad-hoc reports and presentations
  • Prepare and coordinate other documentation for internal and external facing audiences
  • Coordinate activities with local and international team members
  • Respond to changing priorities and urgent requests
  • General office cleaning: office space, meeting rooms, kitchens
  • Work closely with the Executive and Administrative teams
  • Assist Office Management, Reception, and other roles when required
  • Other duties as defined

Our ideal candidate will have:

  • A relevant University Degree or College Diploma in applicable field
  • 5+ years’ experience of executive level administrative support
  • Advanced skills in Microsoft Office Suite (Word, PowerPoint, Excel)
  • Strong communication skills (verbal and written) with a strong attention to quality and details
  • Able to deal with sensitive business information in a confidential and professional manner
  • Excellent organizational and time management skills, and be able to prioritize and multi-task daily schedule
  • Able to work in a fast-paced, high-energy environment
  • Weekday, evening, and weekend availability
  • Possess a vehicle and valid driver’s license
  • Location: Winnipeg, Manitoba
